How To Convert Excel to PDF


In this video I’m going to demonstrate converting
a spreadsheet with multiple worksheets to a single PDF and also talk about an error
that occasionally Excel will give you. Heres my example spreadsheet you can see the
tabs down here for multiple worksheets. To convert to PDF you’ll simply print –
deskPDF. The default selection is for active sheet and you can select your page range here.
If you only want to convert a small section of the spreadsheet that you have highlighted
you can choose the selection option and if you want to convert the entire thing choose
entire workbook. It looks like all the pages came through.
The error that Excel gives has to do with the that way it batches the print jobs, and
this affects all postscript interpreters. If a single worksheet has a different orientation,
different page size, different print quality or different margin than the rest of the worksheets,
Excel will end up spooling up this job twice. So lets give an example. In a numerical data
worksheet I’m going to go up to the page layout tab and choose page setup. If you are
in Office 2003 you’ll simply choose file – page setup. And we are going to make
an adjustment here, lets make the print quality 600 dpi. And you can see on the other tabs
its only 300 dpi. So lets try to convert the entire workbook
to a PDF now. And the multiple save-as dialogues for deskPDF
means that Excel has tried to spool this job up twice, because it recognized the difference
in the DPI on that last worksheet. So to make sure all of the pages are identical you can
do this individually by choosing page setup and adjusting the dpi, or the orientation
or margins or paper size. Or you can do this for all your worksheets at the same time
– simply hold down your control key and select each individual worksheet. Its very
subtle, you’ll notice when its selected its white, and when its not its blue. So now that all are selected go up to page
setup and make your adjustments, and now all will be uniform. And you can convert back
to PDF using deskPDF. We’ll choose entire workbook again. And you can see every page came through, it
